Introduction

Welcome to the working at valantic website by valantic CPT. This website is owned byvalantic CPT with its offices located at Jacob van Arteveldestraat 30; 2640 Mortsel and company/VAT number BE0847823847 and is registered at the business court of RPR Antwerp, division Antwerp. This statement is applicable to the processing of personal data relating to this website, the application procedures and contact relating to job openings. As soon as an employment contract is awarded the necessary arrangements relatingto the processing of your personal data is governed by the company policies and the employment contract.

valantic CPT is the data controller for personal data obtained through this website or during the application process. The personal data is always collected straight from you as the data subject but sometimes (for example in the case of cookies and analytical data) this happens without a conscious action on your part.

As an organisation we want to meet the requirements of the General Data Protetion Regulation. Additionally we believe it is important to inform you as a job applicant about the following:

  • The personal data we process about you

  • The way we process your personal data            

  • The transfer of your personal data to third parties within Europe·      

  • The retention period of your personal data and; 

  • How we protect your personal data

Furthermore we wish to inform you about your rights. Finally, we want to inform you whom you can contact with questions, requests or complaints. We request that you read this information carefully. Personal data is any information about an identified or identifiable natural person. For you this means that the information is about you directly or can be traced back to you. This could be your name, data of birth and address, but also your personnel number, business or private e-mail address or phone number is personal data.

The processing of personal data entails any action that can be taken in regard to your personal data, from collection to deletion. This is a very broad concept. Operations that are processing of personal data are: collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

Which personal data do we process about you?

Legal grounds we can use according to the law to process your personal data.

We proces your personal data for one of the following purposes:

  • The information is required to decide whether or not we want to enter into an employment contract with you.

  • The data is required to close or execute on the employment contract

  • The data is required because as a company we have a legitimate interest to process the personal data (think about a situation in which a judicial procedure is going on or expected to happen where we should be able to provide our legal defense)

The personal data we process about you

We only process the following personal data about you

Applicants

Your name, firstnames, title, sex, date of birth, address, zipcode, place of residence, phone number and other data we need to be able to communicate with you like your e-mail address;

  • Data about the trainings, courses and internships you did;

  • Data about the position for which you are applying

  • Data relating to the nature and content of your current job, and data about the termination of that current job;

  • Data relating to the nature and content of previous employment and the termination of those positions;

  • Other data relating to the function that are provided by you by means of an application letter and/or CV or are known to you;

  • Other data required for the application of a law.



The processing of the personal data mentioned above is limited to one or more of the purposes listed below:    

  • The evaluation of your fit fort he position that is available or might becomeavailable;     

  • The internal controls and security of our company;    

  • The performance of a legal obligation·      

  • The performance of statistical analysis to improve our website and or services.



Transfers of your personal data

By default we only use your personal data for ourselves (our own business operations) within the framework of the application process. We will not use the personal data outside of the purposes for which it was collected. In some cases it could be necessary to transfer your personal data to a third party to process on our behalf.  

valantic CPT uses the software of Tellent Recruitee B.V. for the support of the website and the application process. All personal data remains within the EU.

Additionally, there is a cooperation with valantic NL that has access to the provided information.

Retention of your personal data:

When the job opening is closed all information regarding to applicants that were not selected are removed.

If you were offered a contract the relevant personal information becomes part of your employee file.

Data can be stored for a longer period of time if we have a legitimate interest in doing so (for example when a judicial procedure is on the way or announced and we need the information for our legal defense).

Which personal information is processed?

Name, e-mail address, phone number, picture (optional), CV and motivation letter (optional)

Where do we get this personal data?

Applicants can react to an open position through the application form. They provide the personal data themselves.

How long do we keep this personal data?

The personal data is stored as long as the job opening is available, and the applicant is still being considered. As soon as the applicant is denied or as soon as the job opening is filled all personal data will be deleted immediately. The personal data of the applicant that was selected becomes part of the employee file. We do not manage a recruitment reserve.

With whom do we share this data?

The personal data that was sent with the application form is only shared with colleagues who are involved in the recruitment process. valantic CPT uses the software of Tellent Recruitee B.V. to support the website and the application process. All personal information remains within the EU and a data protection agreement is in place.

This website uses cookies that can be changed at any point in time. It is limited to a required cookie to capture your consent and a cookie to enable the embedding of Youtube videos In the site. More information can be found in our cookie policy here.

It is possible that this site contains links to other websites. Be aware that this privacy statement is only applicable for pages at workingatvalantic.be and we are not in control for the data collection and use on other webpages.

Protection of your personal data

The protection of your personal data is well organized through the use of physical, administrative, organizational and technical measures. As a result we offer an appropriate level of protection. We review our measures periodically and make adjustments where necessary. The valantic IT security guidelines have to be respected by every employee and sub processor. Besides the security of our systems we restrict the access to your personal data to employees who need access for the performance of their tasks.

Confidentiallity

We assume all personal data is confidential in nature. As a result every employee of valantic signed a confidentiality agreement. The same holds true for third parties that are engaged by valantic to perform part of the processing. People charged with performing technical work on our systems are also bound by confidentiality. In short, everyone who has access to your data is charged with a duty of confidentiality.

Your rights

Based on the GDPR you have several rights in relation to the personal data we process about you:

  • An overview of your personal data

  • A copy of your personal data

  • Receive information on how we process your personal data (this is also the purpose of this privacystatement but perhaps there are other questions not answered in this document)

  • To have information corrected that is factually incorrect (be aware: you cannot ask us to correct an assessment report if you disagree with the contents. You can write a declaration that you disagree and why and ask us to add it to the original document)

  • To complete incomplete information when it is relevant for the purposes of the processing

  • In some cases to have us delete your personal data

  • In some cases to limit the processing of your personal data. (We are already aiming at limiting the amount of personal data processed, dataminimalisation)

  • To object against the use of your personal data,

  • If you gave your consent to use your personal data to retract that consent. This is applicable for every future processing of your personal data.

It’s possible that we request to verify your identity before processing your request. How we verify your identity depends on the context of your question and the information you wish to receive. In case we decide not to partially or fully process your request you will be informed on our reasoning not to process the request.

In case you disagree with how your request was processed you always have the right to file a complaint to the relevant authorities.

This privacystatement can be changed and updated to reflect a new reality in the processing of personal data. We advise you to regularly check the statement to. remain up to date of the processing of your personal data. The data at the top of the privacy statement indicates the date of the latest changes. If the change is significant we will inform you about it.
